Service & Operations Support Administrator
About the Role
We are seeking a highly organised and proactive Service / Fleet Administrator to join our growing team at Petroassist UK Limited. This role is central to ensuring the smooth running of our service operations, delivering exceptional support to our technicians, drivers, and customers.
You will be responsible for managing key administrative processes, maintaining accurate records, supporting fleet compliance, and ensuring seamless coordination across internal systems. Your attention to detail and ability to prioritise effectively will help us maintain our high standards of service excellence.
This is a full-time, office-based role (5 days per week).
Key Responsibilities
Service Administration
• Maintain detailed and accurate records of site assets
• Process service calls, including assigning serial numbers and updating internal systems (G6)
• Raise purchase orders and process invoices (G6)
• Reconcile data across multiple internal systems to ensure accuracy and consistency
• Maintain and update customer programmed works schedules (including certifications)
• Provide day-to-day back-office support to Service Technicians
• Manage shared service inboxes, ensuring timely responses and task allocation
• Process Sales and Spares orders
Fleet Administration
• Administer the company vehicle fleet, ensuring compliance and accurate documentation
• Arrange temporary hire vehicles (vans and cars) when required
• Process penalty charge notices and related documentation
• Manage fuel cards, including monitoring and maintenance
• Update and manage toll road and bridge payment records
• Support drivers with day-to-day company vehicle queries
Requirements
• Minimum 2 years’ experience in an administrative role
• Strong customer service skills with a professional and approachable manner
• Excellent organisational skills and attention to detail
• Ability to problem-solve both methodically and intuitively
• Proficiency in data entry and system management
• Basic understanding of vehicle maintenance schedules and compliance requirements
